Bluetrait Mobile App — Features Guide for MSP Field Staff

The Bluetrait Mobile App is a companion app for MSP field technicians and staff. It covers the administrative side of a technician's day — tickets, timesheets, expenses, leave and warehouse workflows — while device management (RMM), remote access and the password vault remain in the full Bluetrait web portal.

Getting Started

  • Login: enter your Bluetrait domain (e.g. example.com), then your username and password. Previously used domains are remembered and offered as autocomplete.
  • Two-Factor Authentication: if your account requires 2FA you will be asked for the code from your authenticator app. Tick Remember me to skip the code on this device in future.
  • Biometric login: enable Fingerprint / Face ID under Settings → Biometric Authentication, then use the fingerprint button on the login screen.

Note: the tabs and features you see are driven by your Bluetrait permissions. If a feature listed below is missing, ask your administrator to review your permission group. The app requires an active network connection — offline mode is not supported.

Navigation

The bottom tab bar shows Dashboard, Tickets and Notifications (with an unread badge). The profile button on the Dashboard opens Settings.

Tickets

  • List & search: tickets are colour-coded by status and show subject, assignee and due date. Use the search bar or pull down to refresh.
  • Filters: filter by Status, Department, Priority and Company. A dot on the filter icon shows when filters are active.
  • Detail view: shows status, priority, company, category, assignee and due date, plus the full comment thread. Private notes are shaded differently from public replies.
  • Reply: tap Reply to add a note using the rich-text editor (bold, italic, links, etc.).
  • View in browser: for anything the app can't do — changing status, priority or assignee — use the View in browser button to open the ticket in the full Bluetrait web portal.

Timesheets

The Dashboard shows your current timesheet totals (Total Time Spent / Total Billable Time) with a quick Add Timesheet button. Entries record date, company, project, project stage, type, billable time and description. Long-press an entry to Clone, Edit or Delete it. Time entered as a decimal (e.g. 1.5) is automatically converted to minutes.

Expenses

  • General expenses: record name, company, project, category, amount, tax and purchase date, and attach photos of receipts from the camera or gallery.
  • Fuel expenses: a dedicated fuel form where price per litre, litres and total auto-calculate from each other. Pick your vehicle, tick Require Reimbursement if applicable and attach the receipt. The fuel list is grouped by month and colour-coded (green = Paid, amber = Draft).

Fuel Receipt Quick Capture (AI)

The fastest way to log fuel:

  1. Long-press the Bluetrait app icon on your phone's home screen and choose Capture fuel receipt.
  2. The app opens straight into the camera — photograph the pump receipt.
  3. The receipt uploads and is read automatically; you'll receive a push notification when the draft fuel expense is ready.
  4. Tap the notification to review the prefilled values, correct anything if needed, and tap Approve.

Until approved, the entry sits in your fuel list with an amber Draft badge. If the upload fails you can retry without retaking the photo.

Leave Requests

Submit leave from the Dashboard: choose the leave type, from/to dates, add a description and attach any supporting files.

Notifications

The Notifications tab lists your alerts with unread items highlighted. Tapping a notification takes you straight to the relevant screen — a ticket, a draft fuel expense to review, or a web link. Push notifications work even when the app is closed, and stop when you log out.

Settings & Troubleshooting

  • Expenses Dropdown — keep the Dashboard expenses section always expanded.
  • Biometric Authentication — enable/disable fingerprint or Face ID login.
  • Logout — signs you out and stops push notifications on the device.
  • The app version is shown in the bottom-right of the Settings screen — please quote it when raising a support ticket about the app.
